My Workplace


I am interning at a business consulting company called Deloitte.  Basically Deloitte helps businesses (usually larger ones) and organizations in improving different aspects of their work place.  They help companies with their strategy, technology, and human capital.  Deloitte not only does consulting but also works with tax, audit, and financial advisory.  Considering all of the different services Deloitte provides, it is defiantly a larger corporation.  In fact Deloitte is a global company.  This particular building is located on Mission Street in San Francisco.  The building is about 34 stories high and about fourteen floors belong to Deloitte.  The building is very new, the company just relocated here a few months ago from another building in San Francisco.  The floors are divided by departments of work.  I work with my mentor at a desk space located on the 14th floor (area for project controllers).  Each floor is set up similarly with a Café area and office areas.  The Deloitte building here in SF has about 1600 employees working there and the company has about 100,000 employees internationally.  The office environment is pretty calm and there are not a large amount of people in the building when I am there because many people working for Deloitte work at their client site for the majority of the work week.  However, the project controllers which are who I am working with have a job that does not require them to leave the building.  Most people working for Deloitte have a four year degree and start out by interning here either their junior or senior year of college.  As I said earlier, my workplace primarily serves big companies by helping them improve their own services through different aspects of the company.  They also work with some non-profit organizations.  This workplace as a whole is very successful in their ability to deliver quality work; this is proven by the fact that Deloitte is one of the leading consulting companies in the world.  The atmosphere here is also very welcoming and friendly; it is obvious that people enjoy working here.  I have not yet experienced any weaknesses in this workplace.

My Mentor

My mentor is Christen Ng.  She is a senior project controller at the Deloitte building in San Francisco.  Christen has been at the company for about 4 years now and has a lot of experience in what she does.  As a project controller she primarily manages the finances and logistics of consulting projects.  On a day to day basis she works to come up with and present appropriate financial plans for each project, makes sure that the contracts between Deloitte and its clients are being followed, and updating existing contracts with new information when it appropriate.  The tools normally used by project controllers to complete these tasks include Many excel based tools used for financial tracking like the consulting pricing model, the standard tracking tool, and the expense audit tool.  The master project that she is working on right now is the Kaiser Permanente project.  Deloitte has been working with KP for a while now and this master project is very complex and consists of many smaller projects.  This is why project controllers are so important in this project specifically.  There are so many projects going on at once and so they have to make sure that they manage all of the finances and controls.  Christen got to where she is now starting at UC Davis where she studied managerial economics, which she says gave her a foundation in finances and business.  She worked her way up to senior project controller over the four years she has been with Deloitte by being a strong collaborator and showing signs of leadership in her practice. 

My Role

My main responsibility as of right now is to familiarize myself a little bit in what project controllers do and how to understand and pull out information from project contracts.  During my second week I was able to learn a lot about pulling out information from contracts and I actually got to help my mentor out by creating an excel data file and putting information into the tracking tool.  The tracking tool is a tool used by project controllers to keep each project updated and to have a space where all the financial information of the project is located.  More generally, a typical WLE day for me starts at 9am and ends roughly around 4:30pm.  Well really the start of my day is at 6am.  I get up and get ready for WLE (the attire is business casual).  Then I am out the door by about 7:30.  I walk to the Bart station and get on the 8:00 o’clock train.  I then get off at Montgomery Bart station and walk a couple of blocks down to the Deloitte building (it takes about 10 minutes).  Once I arrive, I meet with my mentor on the 14th floor at 9am.  I get settled in and sometimes grab a coffee from the café area.  The day usually begins with a discussion with Christen about what the work day is going to look like.  Then I go down and get a lap top from tech support.  All of the work I do is done digitally so the lap top is very important.  Then Christen and I go over my first assignment more in detail and I begin my computer work.  After each assignment, my mentor and I go over the work that I have done.  I receive feedback and then depending on whether or not I need to do some revisions, I will look back over anything that is missing and fix it.  I usually take a lunch break around noon.  This is when I will sit in the café area and eat my lunch which I often bring.  I take about 45 minutes and then start up on my work again.  Sometimes we will take another break later in the day as well since the work itself is mostly just sitting in an office all day.  However, that is not a bad thing; I actually really like the quiet calm setting of the office.  If I have time, I sometimes work on my blogs towards the end of the day.  Then, once I am finished, I pack up, turn in my lap top, say goodbye, and head out. 

Project Proposal
For my WLE project, I plan to work with Shania and Elliott to come up with and create activities for Deloitte impact days.  Deloitte impact days are days when high school students from different schools come to Deloitte and learn about what they do as a company and why it is important to pursue higher education.  So far they have only implemented a couple of activities into their impact days and it is somewhat limited.  It would be great for them to incorporate more activities that will engage high school students and hopefully inspire them to go to college and possibly have a career in business.  We were thinking of how we can incorporate information into impact days about the college application process and college admission requirements such as what classes and grades students need in order to get into the college they want to go to.  As well as informing them about what Deloitte does in a fun and engaging way; meaning more hands on and discussion rather than a presentation style.  I did not actually come up with this idea myself.  Jen Powell, the woman who runs impact day, as actually been looking for new ideas of how to get high school students more interested in Deloitte impact day and making it an enriching experience.  She chose to have us help her with this project because we are high school students ourselves and so we are coming from that perspective that they want to be able to relate to.  I am excited to have the opportunity to be a part of this because I feel like the goal of the impact day in part is similar to the goal that Impact Academy has for its students in that they want to raise awareness about college and point kids in the right direction for their future.  It also greatly encourages students to someday pursue a profession.  I cannot wait to see how the ideas I contributed to the project and our ideas as a whole help impact day reach its maximum potential and truly help this day make an impact on teenagers’ lives.  In order to execute the project in a timely matter, we are going to try and dedicate at least 2 hours every Tuesday to working on this project.  This includes brainstorming ideas for activities, narrowing them down and then creating the activities themselves as well as organizing these daily activities in accordance to the time frame and goals of the impact day.


Progress on my WLE project part 1

I spent the first half of my day primarily working on recruiting paperwork.  I was basically sorting interview papers of potential employees and placing them in an excel files.  Then, Shania, Elliot, and I started working on our Impact Day project.  We started out by brainstorming how the day was going to go based on the activities we had come up with the week before.  We determined where each activity would fit in the schedule based on what would keep the students most engaged, the length of each activity, and the overall most logical order of events.  Once we brought each part of the day together, we determined who would be responsible for what.  We decided that Elliot would create the overview and kind of warming up part of the day (about the first hour).  This would include, a power point containing the days agenda and some key facts about Deloitte, and a game that will serve as an “Ice Breaker” for the day.  Shania would come up with a plan for a college discussion informing High School students of College requirements, giving those tips and advice on personal statements and college applications, and hopefully giving them an idea of the importance of going to college especially when it comes to having a future in the professional world.  I will be working on the wrap up of the day which will include a brochure that contains all the “big ideas” from the day, a discussion about what students took away from the experience, a student survey that will determine what students did and did not like about the day, and then finale goodbyes.  Then as a group, we will work on our big activity.  This will probably be like a scavenger hunt where students are required to work as a team to solve cases and collect clues throughout the building.  The cases or situations that the students are given to solve will be related to the different purposes and roles of each aspect of Deloitte.  This will give students a better understanding of what Deloitte does and will lead into the College discussion where we will talk about how they used the leadership skills (Communicating powerfully, Collaborating productively, and Thinking critically) in this activity and how those skills can be applied in the professional world.  After our project plan, we did some work on our individual parts and then took a lunch break.  Once I got back from lunch, I worked with Christen, my mentor.  I got experience with some other things project controllers work with.  I worked on transferring information onto a “Quality Checklist” which is basically a list confirming that project controllers are following all of the procedures and policies for all of the projects and nothing is being left out.

Leadership Skills

At my WLE I am most often required to manage my projects effectively and think critically.  Most of my work has me working with financials and contract information.  In both cases I am usually transferring data from one place to another.  Since I have various little projects or assignments every day, I have to manage the time I have for each assignment.  I try to set time goals for myself on each assignment and always make sure I am using my time wisely and effectively.  I do this by asking lots of questions and thinking critically on my own to try and figure out what I am doing wrong or what I need to do next.  Usually I am given an assignment and then my mentor explains to me what exactly I need to do.  Sometimes it ends up being one of those things where I somewhat understand what she is explaining to me but it doesn’t really become clear until I actually do it.  I gain a better understanding of the assignment when I play around with the tools I am using and discovering how everything comes together.  For example, today I had to do an assignment where I was transferring data using formulas in excel, it was very confusing and I was afraid that I would not be able to successfully do the assignment but as I started to do it, I began to understand how the formulas worked.  This is an example of how I used critical thinking because I analyzed my observations to form a conclusion.  I also looked to further resources for help rather than just asking Christen.  I am provided with a file similar to the one I am working with that belongs to a different project so that I have a reference.  My mentor uses all 4 leadership skills quite often in her work place.  The 2 she uses most would probably be managing her projects effectively and collaborating productively.  She has lots of deadlines for different projects that she must meet on time.  So, she must stay on top of each project and use her effective project management to set her own deadlines and make sure things are getting done so that the overall deadlines are being met.  She also has to collaborate productively 24/7.  She is part of a project controller team with whom she works with to get projects done.  They help each other out and constantly communicate changes in projects.   My mentor must also communicate powerfully when giving presentations or participating in meetings and think critically when coming up with new ways to track different project information and using problem solving skills in various ways.

What I Learned
Throughout this experience, I have learned how to be more independent as a learner and a doer.  I also realized that the only way to truly understand something is to do it.  The first few weeks I was nervous taking Bart to the city by myself and I got lost a couple of my times on my way to and from the building.  Overtime however, it got much easier and I am now much more comfortable taking public transportation in general.  There were also a few times when my mentor would give me an assignment and explain it to me but I couldn’t seem to grasp what she wanted me to do.  It was not until I started the assignment on my own that I really understood what she had explained to me.  I realized by thinking critically and using the resources provided to me, I was able to gain a much better understanding then if someone had been guiding me through every step so I am glad that she encouraged me to try and figure it out on my own.  I learned a couple of life lessons through this experience.  Number 1, it is always better to focus on quality before quantity.  I noticed that the things I tried to go faster on would end up having to undergo a lot more edits than the things I took my time on.  Number 2, it is okay to ask questions.  I have a hard time with this one, but I realized that if it’s needed, people are usually happy to help.  Although I did not really use my creativity as a project controller, I did get to use it in my WLE project.  Elliott, Shania, and I needed to create an event day that made the world of business and professionalism engaging and easy to understand for high school students.  This experience changed my perception of business people and an office environment.  I always thought of business people as impersonal and very serious.  However, I found that they are actually very friendly and usually laid back, still professional but not to the extreme that I had imagined.  During the time at my WLE, I learned a few things that are very important in this profession.  Firstly, I developed the habit of checking the accuracy and detail of my work.  A lot of times, my mentor would tell me to make the assignment look more polished.  As a high school student I don’t usually pay attention to the little details in the appearance of my work.  However, I realized that self edits and revisions are very necessary especially in the professional world when I would be communicating with people who are relying on me to do something a certain way.  My experiences at my WLE have opened my eyes to the variety of different careers that are out there.  I have learned that there are general occupations but within those general occupations there are so many different parts and each individual is responsible for taking on something different.  I need to start looking into careers that may interest me in the future now because there are so many different options and it would be very beneficial to be directed in a more specific direction.

Proffessionalism
In order to find my WLE I was lucky enough to get a connection through my advisor however, I still had to make phone calls during the before process.  The calling process was difficult because I was calling places that I did not know much about and peoples’ responses to my search for an internship were unpredictable.  It was difficult to sound comfortable on the phone because I think I was trying too hard to sound professional instead of letting it flow a little bit more.  I was also able to make a couple connections through past work experience and previous schools I had attended.  I learned that making connections is a much more promising option.  Even though I was able to get an internship through my advisor, I had to take the steps of making a resume and cover letter first which helped give my mentor some background on what type of person and student she would be taking on.  I also remember how cautious I was the first day about making a good impression on my mentor and the other adults I would be working with by acting professionally and being enthusiastic about the experience.  As a result of my WLE I think being a professional in the working world means having expert knowledge on ones choice of work, having a strong command of leadership skills, making significant contributions to ones community, and having the ability to asses one’s self and others on their performance.  I used my mentor and the knowledge I have accumulated over the experience to reach this conclusion.  I noticed that my mentor demonstrated extreme knowledge of her profession as a business woman and more specifically, a project controller.  I also noticed that she was constantly using leadership skills in her line of work.  In addition to that, I learned how the different parts of Deloitte work together to form common goals and solutions and each group has a different but equally significant contribution to make.  Lastly, employees asses themselves and are assed by others in order to maximize their individual success and their company’s success.

Life at my WLE
Today I finished up a project my mentor had me do in excel where I entered new invoices into a financial tracker.  This excel file was a little more complex to work with than the past assignments my mentor had given me.  I struggled with it a little bit more but I was able to learn something new and get more familiar with shortcuts and formulas in excel.  I also worked with Shania and Elliott to bring together our finale project and presentation.  We planned out the layout and order of our presentation and finished up any missing pieces from the project.  This included compromising on our interactive activity, finalizing cases (activity), and polishing our individual parts of the project.  I feel that I have grown as an intern in a few different ways.  I am more confident in doing independent work.  I feel that I have become more reliable especially for myself on meeting project deadlines.  Instead of jumping quick into questions, I make sure to try my best to complete tasks on my own by using my critical thinking skills.  However, I am now also more comfortable with asking questions when I need to.  My internship experience at Deloitte was a very good one.  I felt that I got to learn a lot of new things about the professional world and about what project controllers do and how they do what they do.  It was a pretty organized and invested internship program and I had a very friendly and welcoming mentor who made the experience very positive and fun.  The people who work there are all super nice,  good people to look up to because they have all worked very hard to get where they are today.

The End
I am glad to say that having my WLE at Deloitte was a very posotive and productive experience.  I learned a lot of new things about myself and my capabilities.  I also learned a lot about the proffessional world.  Observing the proffesionals at my work place, they all seemed so well put together and like they really knew what it takes to come to a place of purpose and readiness in their lives.  It made me want to create that same kind of life for myself.  This WLE experience made me very excited for what is to come next year.  However, working at Deloitte made me realize that there are so many different careers to choose from and getting an exposure to a variety of different ones now will help me with my future careers choices.  Because of this, I think I want to try something new next year, much different than a business experience.  My experience at Deloitte also gave me the confidence to want to try something new.
